We are an independent tax, accounting and business consulting firm that has an excellent reputation for taking the time to get to know our clients unique needs. We are currently seeking experienced Office Assistants for the tax season beginning in December 2014 and ending in April 2014. The position requires 30-40 hours per week. The ability to work some evenings or weekends is needed. Appropriate personnel would be considered for employment beyond April.
Job Duties:
• Act as receptionist, screening phone calls and visitors, taking messages and scheduling appointments as needed.
• Performs secretarial functions which include: preparing correspondence with internal and external contacts; record keeping and maintaining organized files and documents, and various other clerical tasks as assigned.
• Assists in researching information on projects as assigned.
• Performs other duties as assigned.
• Maintaining office calendar and schedules.
• Assists with outgoing mail preparation, mail distribution, Express package creation.
Job Requirements:
• Administrative & Customer Service experience required. Prior work experience in an accounting firm or professional services firm is a PLUS.
• Must be courteous, helpful and represent the organization and its management in a professional, business-like appearance and manner. Fashionable professional dress is required.
• Must have ability to exercise judgment, initiative and tact in dealing with management, supervisors, staff and customers.
• Team players, outgoing, well-organized, and able to prioritize tasks. Must be able to perform wide variety of tasks & wear a variety of hats.
• Must maintain confidentiality.
• Must be able to overcome obstacles & deal with customers in fast-paced high-volume environment.
• Professionally handle busy phone system including answering, screening, directing and referring calls to the appropriate person, handling detailed and lengthy messages and directing to appropriate staff members.
• Greet clients, guests and outside delivery vendors.
• Prepare and send overnight and courier deliverables.
• Knowledge of accounting software a plus, but not required.
• Proficiency using MS Office software, including Word, Excel, PowerPoint and Outlook.
